Consolidated profit and loss multiple companies Excel: the method, its limits and add-ins

Last reviewed October 30, 2026

Quick answerExcel's Consolidate command adds same-layout sheets by position, or same-label sheets by category, so the group profit and loss can be rebuilt each month. Joiin's Excel Add-In or Spreadsheet Sync pulls it in.

Consolidated profit and loss for several companies in Excel: the method

Export each company's profit and loss to Excel, then use the Consolidate command to add them into one master worksheet. Microsoft documents two ways: by position, when every source range has the same order and the same labels, and by category, when the labels match but the order differs. The sheets can sit in the same workbook as the master or in other workbooks.

Microsoft asks that each range be in list format with a header row, have no blank rows or columns and share one layout.

The monthly steps for a group profit and loss

  1. Export. Pull each company's profit and loss for the same period and the same basis.
  2. Map. Give every account one group name, so the labels match across companies.
  3. Eliminate. Add a column for loans, sales and charges between companies, with both sides agreed.
  4. Consolidate. On the Data tab, select Consolidate, choose a function such as SUM and select Add for each range. The Create links to source data box updates the result when a source changes.
  5. Tie out. Check each company's column against its own report.

Where the Excel build breaks

Excel's Consolidate command needs the same labels in every sheet, so each company's accounts must be mapped to one group chart first. Microsoft says labels that do not match across the sources produce separate rows or columns, so an account named differently in one company shows on its own row instead of adding to the group line.

A company in another currency needs rates chosen by hand, intercompany items need both sides agreed, and the whole build repeats every month. How to consolidate multiple companies in QuickBooks Online compares the routes.

Add-ins that bring the group report into Excel

Joiin's pricing grid lists the Excel Add-In on Pro and Max, although its Excel Add-In page says it is included in all pricing plans. The Add-In pulls live consolidated and single-entity reports from Joiin directly into desktop Excel or Excel Online. Pro is $83 a month for 5 companies, billed monthly, as read on October 30, 2026; financial consolidation software cost sets out each plan.

Intuit's Spreadsheet Sync, on QuickBooks Online Advanced at $340 a month per company, combines Profit and Loss, Balance Sheet and Trial Balance in a spreadsheet and works with Excel only. Accounts combine only when name, type and level match, so spelling differences or different account numbers keep them apart.

What an app costs against the monthly Excel rebuild

Excel has no vendor price for consolidation: the Consolidate command is part of Excel, so a group that owns Excel pays nothing extra for it. The cost of that route is the monthly time of whoever rebuilds the report. For 5 companies, billed monthly, Joiin Core is $77 and Pro $83; JustConsolidate is $65 plus a QuickBooks subscription for its consolidation company.

Two or three companies with matching charts of accounts and one currency can stay in Excel. Pick QuickBooks Online Advanced for Intuit's Spreadsheet Sync, or JustConsolidate for a QuickBooks-only group that wants the group books inside QuickBooks. A group that rebuilds the report every month can compare tools in best financial consolidation software for small business. Joiin's Excel Add-In can be tried inside the 14-day trial on Max, which takes no card.
