How to consolidate multiple companies in QuickBooks Online: four routes
The routes below are the ones the vendors' own pages describe, read on October 30, 2026. They differ in who does the work, where the consolidated numbers live and how many companies they suit.
- Spreadsheet: export the same reports from every company for the same period, map accounts in a mapping column, remove intercompany lines and sum. No software fee, but you repeat the work each month.
- Reporting app: Joiin's QuickBooks Online page describes connecting your companies, then producing group reports with intercompany eliminations and multi-currency options. The numbers live in the app, and your QuickBooks files stay as they are.
- Consolidation company: JustConsolidate's page describes creating a new QuickBooks company, mapping accounts and posting a trial balance entry for each company and period. Intercompany eliminations and other adjustments are booked there as journal entries, and JustConsolidate only reads your existing companies.
- ERP: Intuit's Enterprise Suite page lists multi-entity management with intercompany eliminations, and the QuickBooks Online Advanced page points groups with multiple entities to it. This route means changing systems, not adding a report.
Steps every route shares
- Step 1: list the companies in the group, who owns each and what percentage, so partly owned companies are treated correctly.
- Step 2: use the same period and the same accounting basis, cash or accrual, in every company. Close the books of each company before you combine them.
- Step 3: map the charts of accounts. Build one group chart and assign every account in every company to a line on it. Joiin's page says its mapping lets you align accounts across companies.
- Step 4: list intercompany balances: loans, sales and charges between group companies. Both sides should agree before you remove them.
- Step 5: settle currency. If every company reports in one currency you can skip this. Otherwise choose exchange rates for balance sheet and income statement lines.
- Step 6: produce the consolidated profit and loss, balance sheet and cash flow, with a column for each company beside the total.
Intercompany eliminations in plain words
When one company lends money to another or bills it for services, each side records the item: one as a receivable or revenue, the other as a payable or expense. Inside a group those items are not outside income or debt, so the consolidated statements remove both sides. If the two sides do not match, the difference is a bookkeeping error to fix first. Joiin's intercompany page describes eliminating loans and transactions between companies at company or group level.
Consolidated statements and tax returns are different things
A consolidated profit and loss for your own use is a management report. A consolidated income tax return is a separate IRS process for corporations: each subsidiary consents on Form 1122, which IRS Publication 542 describes as the form to include a subsidiary in a consolidated return. The SEC's rule on consolidated financial statements applies to companies that file with it. Whether a private group needs consolidated statements depends on its lender, investors and tax filing, so ask your accountant which ones you need. This is general information, not tax or accounting advice.
Check the result before you trust it
- Each company's column should tie to its own profit and loss and balance sheet in QuickBooks Online.
- Intercompany accounts should net to zero in the group total.
- Group cash should equal the sum of the bank balances.
- Re-run the previous month's consolidation and confirm it matches what you reported then.
- If you do this by hand every month, the Joiin review and the best financial consolidation software show when a tool is worth a trial.
